Inviting League Admins and RCs to Conventions and Events

This article expands upon a subject mentioned in The D&D Adventurers League Convention Organizer’s Survival Guide Part 2: Convention Activities.

Fai Chen banner - glyphs - whiteThe D&D Adventurers League has a number of Admins and Regional Coordinators (RCs) who can offer special content or events to augment your convention, game day, or special event. Two common offerings are the DDAO “Author Only” adventures which League Admins can run, and Fai Chen’s Fantastical Faire (magic item trading post) which both League Admins and RCs can run.  Invitees may also DM adventures, run seminars (such as How-to-DM workshops, industry Q&As, League Q&As, State of the League seminars, etc.), and participate or volunteer in other capacities.

Inviting these individuals as special guests may boost attendance at events as players register to participate in these special offerings. Larger conventions often have funds budgeted towards the invitation of special guests. Game days and other such events that don’t have a budget can call upon local League Admins or RCs at little or no cost.

Members of the Wizards of the Coast D&D Team can also be invited to your event! Learn more about inviting D&D Team members at the Wizards Customer Support site.

When you contact the Admins or RCs you wish to invite, make sure to include the following information:

  • Convention/Event Name
  • Location (incl. city, state/province, & country)
  • Date/s
  • Website
  • Contact information (name, phone, & email)

Additionally, describe any games, speaking engagements, seminars, panels, etc. in which you would like to have your special guest participate. Also note what expenses you are able to cover for the guest (registration, travel, lodging, food, etc.).

Conventions should at least provide the Admin or RC with a badge to attend the convention. If the invitee has to travel very far, the convention should also be prepared to give them a room and/or pay for transportation or mileage. Speak to the Admin/RC to work out the details. If you really want to entice an Admin or RC to your convention, offer per diem of $20 per day to help cover out-of-pocket expenses. Contact the Admin/RC to make the arrangements according to yours and their needs as each guest requirements will vary.

With foresight and planning, a League Admin or RC can make your event a truly memorable one for participating players!
